    • Job Details:• Ensuring that all records held within HR department are accurate and up-to-date. • Ensuring that personnel files both manual and on C-Sam are accurate and up-to-date. • Undertaking HR duties delegated by the HR Director & the General Manager. • Issue HR letters for employees to be presented to embassies/banks when required. • Prepare the HR activities monthly report and the training report, and submit them to the General Manager and the Training Department respectively. • Raise requisitions on Navision for the HR Department and as assigned by the General Manager. • Liaising with Group HR with centralized data expectations • Report to Group HR any requested HR data on a monthly, and ad-hoc basis • Receive the proposed personnel requests from Line Managers. • Coordinate with the recruitment agency to get CVs for the required vacancies. • Screen CVs, call candidates & conduct the initial interviews. • Arrange the technical interviews with the technical manager. • Agree with the technical manager on the selected calibers. • Short list the accepted candidates in order to complete the rest of the hiring cycle. • Prepare the man power planning. (if required) • Arrange induction program for new comers in coordination with all departments to get introduced to the company business nature. • Dispatch offer packs as and when required assuring all relevant content is enclosed, e.g. offer letter, terms and conditions, job description, handbooks, holiday forms, etc. • Complete the Checklist, assuring all requirements for new employees are met. • Inform all relevant staff of new starts as required. • Ensure that information regarding new starts is passed to HR at Head Office. • Ensure that ICT is aware of new starts to enable I.C.T. equipment to be ordered. • Ensure that line managers are kept informed throughout the process from offer to induction. • Arrange the pre-employment medical check-up. • Produce and provide contracts of employment, job descriptions and employee handbooks. • Keep up to date with current employee law legislation. • Ensure that all the necessary information is contained within the contracts of employment and employee handbooks. • Ensure that staff has a current and accurate contract of employment and job description and that they are signed by the employee. • Ensure that all contract changes are updated and issued to the employee for signing. • Inform HR at Head Office of any staff changes as necessary. • Inform HR at Head Office of any changes in salary, new hires or other personal details. • Ensure that all documentation connected to staff changes, e.g. employee contracts, are accurate, authorized, recorded on C-Sam and filed appropriately. • Liaise with the General Manager on all disciplinary and grievance issues. • Prepare paperwork for all disciplinary and grievance meetings, e.g. interview questions. • Attend and chair disciplinary and grievance meetings. • Minute disciplinary or appeal meetings as necessary at all sites. • Help in any other disciplinary issues as required by the General Manager. • Provide to Group HR monthly updates on operational activities • Ensuring that all new employees have a pre-employment medical. • Passing relevant information regarding the health of an employee including absences to the HR at Head Office and line managers. • Record the sick leaves on C-Sam. • Follow up with the HSEQ on any accident cases that may need medical care. • Arrange with medical insurer for the medical insurance services to be available for all employees. • Renew the medical insurance contract in coordination annually. • Coordinate between the insurance company and the employees for any claims or approvals. • Track staff attendance in Cairo and Alexandria with the assistance of the Admin Team. • Send the monthly attendance report to HSEQ and the General Manager. • Ensure that new starts are given details of how to complete their leave form. • Ensure that new starts are given details on how many holidays they are entitled to upon their commencement. • Update C-Sam monthly with all annual and sick leaves. • Send the updated leave balance each quarter to line managers. • Update employee’s job description to be aligned with any internal changes. • Update the organization chart. • Assist the General Manager / line managers in any replacement and or job enhancement plans for employees. • Assist in developing/ creating policies & procedures in order to clear the report lines & enhance the internal communication channels among departments. • Develop the employee hand book under supervision from the General Manager to be aligned with the local Labor law and the company policy at the same time. • Notifying line managers by email when their subordinates’ appraisals are due. • Sending line mangers appropriate documentation to carry out appraisals. • Checking completed appraisal documentation. • Notifying the General Manager of any issues arising from appraisals.
