My position is promoting a positive image of the company and its Executive Managers and Board Members.
• Creating and managing the budget for the Management Department.
• Handle appointments and e-mails for the General Manager.
• Prepare agenda for meetings.
• Maintain hard copy and electronic filing system.
• Greet and receive visitor.
• Prepare confidential and sensitive documents.
• Alert manager about cancellations or new meetings.
• Schedule meetings and arrange conference rooms.
• Provides administrative support and performs numerous duties, including scheduling, writing correspondence, emailing, handling visitors, routing callers, and answering questions and requests.
• Attend meetings and keep minutes
• Review and ensure the expense claims are in line with the company’s policies prior to General Manager’s signature.
• The sole Event Organizer for the company.
• Creating regional travel policies, handling travel, and travel packages and handle all reservations related to incoming employees and consultants visiting the Head Quarter.
• In addition, I arrange travel for the company Managers.
• Establish contracts with hotels and certain service providers (i.e.: Hotels, Restaurants and Suppliers). I have a long experience to handle all kind of travel arrangement (expert)
• Compile and maintain database of suppliers, approving their invoices, checking the goods and services have been received to a satisfactory standards.
• Supervisory duties include supervising the Head Office Receptionist, and Facility workers.
• Responsible for overall facility maintenance of the Head Office, and orchestrate a team of workers to keep the Head office in its top condition.
• Translate documents from Arabic to English for the GM as needed.
• Handle and manage the weekly Management meeting minutes.
• Coordinate General Manager’s office invoice payments including checking, monitoring and processing invoicing for payment.
• Act as the ultimate point of contact and resolution for escalations where needed.
• Take the initiative to deputize and respond on behalf of the General Manager where appropriate.
• Negotiate with Directors, Managers and Staff and help resolve issues and give advice and information at all levels as required.
• Responsible of all Turkish communities in Egypt
(most of the biggest Turkish corporate accounts business such like (Hayat / Limak / KCG / LC Waikiki / Sahinlar / Beko /CSA…ETC )
• Responsible of all Turkish airlines holidays year round FIT & GRP
• Ticketing services
• Worldwide hotel accommodation online bookings
• Visa issuing services
• Conferences, incentives and gala dinner services
