Job Description

We are seeking a highly organized and proactive Virtual Personal Assistant to join our dynamic team. In this role, you will work with various clients throughout the day, providing a wide range of administrative and support services. Your tasks will vary from presentational organization and email management to social media management and data scraping/collation. You may also handle calling campaigns and accept incoming calls. If you are a multitasking expert with excellent communication skills and a knack for technology, we want to hear from you!

Job Requirements

Fluent English speaking and typing skills are extremely essential.
 

Key Responsibilities:

Email Management: Monitor, organize, and respond to emails on behalf of clients. Ensure timely follow-up and professional communication.

Presentational Organization: Assist in the creation and formatting of presentations, reports, and documents. Ensure that all materials are polished and professional.

Social Media Management: Manage clients' social media accounts, including content creation, scheduling posts, engaging with followers, and analyzing performance metrics.

Data Scraping and Collation: Collect and organize data from various sources to support client projects and business needs. Ensure accuracy and completeness of data.

Calling Campaigns: Conduct outbound calling campaigns to promote services, conduct surveys, or follow up on leads. Maintain detailed records of call outcomes.

Incoming Calls: Handle incoming calls in a professional manner, providing information, answering queries, and directing calls to the appropriate person or department.

General Administrative Support: Provide additional administrative support as needed, including scheduling appointments, managing calendars, and conducting research.


Qualifications:

  • Proven experience as a Virtual Assistant or relevant role.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Experience with social media platforms (Facebook, Twitter, LinkedIn, Instagram) and management tools (Hootsuite, Buffer).
  • Strong organizational and time management skills.
  • Ability to multitask and prioritize effectively.
  • Experience with data scraping tools and techniques.
  • Comfortable making and receiving phone calls.
  • High-speed internet connection and a quiet workspace.
  • Strong problem-solving skills and attention to detail.

Preferred Qualifications:

  • Experience with customer relationship management (CRM) software.
  • Knowledge of graphic design tools (Canva, Adobe Creative Suite) is a plus.
  • Familiarity with project management tools (Trello, Asana, Monday.com).
