Job Description
- Act as the point of contact between the executives and internal/external clients
- Undertake the tasks of receiving calls, take messages and routing correspondence
- Handle requests and queries appropriately
- Maintain diary, arrange meetings and appointments and provide reminders
- Take dictation and minutes and accurately enter data
- Monitor office supplies and research advantageous deals or suppliers
- Produce reports, presentations and briefs
- Develop and carry out an efficient documentation and filing system
- Organize and schedule appointments, plan meetings and take detailed minutes.
- Organize office operations and procedures.
- Greet , welcome guests and direct them to the appropriate person and office.
- Keep clients’ records and database.
- Assist in the on boarding process for new hires.
- Coordinate office management activities.
- Perform other clerical duties such as filing, photocopying, incoming calls, faxing and maintain the filing system.
- All secretarial works.
- Attend meetings and keep minutes.
- Maintain agenda and assist in planning, scheduling, and coordinating appointments, meetings, etc.
- Receive and screen phone calls and redirect them when appropriate
- Assists in the completion of various forms, notices, and other communications as assigned.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Follow up on employee movement.
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned
- Other duties may be assigned by Executive Manager
- Answering calls, taking messages, and handling correspondence
- Daily management of office activities
- Following up on attendance records.
- Scheduling Interviews and sending appointment schedules to the managers.
- Develop and maintain a filing system
- Operate office equipment, such as a photocopy machine and scanner.
- Update job posts.
- Assist with shipping documents
- Preparing letters, presentations, and reports
- HR Support related tasks
Job Requirements
- Females only
- Proven experience as an Executive Administrative Assistant, Senior Executive Assistant or in other secretarial position
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office
- Proficiency in English (ENGLISH Language School Graduate is a MUST)
- Exemplary planning and time management skills
- Up-to-date with advancements in office gadgets and applications
- Ability to multitask and prioritize daily workload
- High level verbal and written communications skills
- Discretion and confidentiality
- High School degree; additional qualification as personal assistant would be considered an advantage
