Job Description

  • Provide comprehensive administrative support to the CEO, including managing schedules, appointments, and travel arrangements.
  • Coordinate and prepare materials for meetings, presentations, and reports, ensuring accuracy and confidentiality.
  • Act as the primary point of contact between the CEO and internal/external stakeholders, maintaining professional communication at all times.
  • Handle confidential information with discretion and maintain the highest level of professionalism.
  • Organize and prioritize incoming correspondence, emails, and calls, responding on behalf of the CEO when appropriate.
  • Assist in the planning and execution of executive projects and initiatives as directed by the CEO.
  • Prepare and process expense reports, invoices, and other administrative documents.
  • Support the CEO in managing deadlines, tracking deliverables, and following up on action items.
  • Arrange and coordinate domestic and international travel logistics, including visas, accommodations, and itineraries.
  • Facilitate smooth office operations by liaising with other departments and external partners as needed.

Job Requirements

  • 1-5 years of experience in an executive assistant or personal assistant role, preferably supporting C-level executives.
  • Proven ability to manage multiple tasks and priorities in a fast-paced, office-based environment.
  • Exceptional organizational and time management skills with keen attention to detail.
  • Strong written and verbal communication skills in English; proficiency in additional languages is a plus.
  • Demonstrated discretion and ability to handle sensitive and confidential information.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools.
  • Ability to work independently and proactively anticipate the needs of the CEO.
  • Strong interpersonal skills and a professional demeanor.
  • Flexibility to adapt to changing priorities and schedules.
  • Experience coordinating travel and managing logistics for executives.
