Job Description:

  • Supervise the overall management of the office, organize, and arrange its operations.
  •  Welcome visitors and respond to incoming phone calls and emails to provide excellent service to our customers.
  • Implement a proficient filing system in accordance with company policies and instructions.
  •  Purchase office supplies and equipment, and maintain appropriate inventory levels.
  • Design and implement company policies.
  •  Coordinate and maintain ongoing communication between the Alexandria branch and the main office in Cairo.
  • Receive customer malfunctions and include them in the branch's malfunction group.
  • Take a daily screenshot of a malfunction summary (morning and evening) and post it in the malfunction group.
  • Share the daily maintenance branch itinerary with the group, as sent by the engineer or supervisor.
  • Receive branch quotations and send them to management for pricing. Write down branch quotations after pricing and record them in the appropriate file according to the issued number, while maintaining a separate archive.
  •  Maintain quotation reports for reference when needed.
  • Handing, follow up and receiving maintenance cards and keeping, them organized.
  • Maintaining the branch's maintenance portfolio file and keeping it up-to-date.
  • Any future requirements that require the preparation, processing, or entry of any type of data based on any changes in the maintenance department's requirements

Job Requirements

  • Excellent computer skills, including proficiency in Microsoft Word, Excel, and Power Point
  • Proven work experience as an Administrative Coordinator, Administrator or similar role
  • Familiarity with office equipment, like printers and fax machines
  • Basic math skills
  • Time-management abilities with the ability to prioritize tasks
  • SAP background is preferred
