Job Description

  • We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. 
  • Duties of the Administrative Assistant include providing support to our department manager and employees, assisting in daily department needs and managing our Maintenance department administrative activities.

Responsibilities

  • Answer and direct phone calls
  • Organize and schedule technician's missions
  • Plan meetings and take detailed minutes
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Assist in the preparation of regularly scheduled reports
  • Develop and maintain a filing system
  • Update and maintain department policies and procedures
  • Order office supplies and assist in research new deals and suppliers
  • Submit and reconcile expense reports
  • Act as the point of contact for internal and external clients
  • Liaise with executive and senior administrative assistants to handle requests and queries from department manager
  • Submit timely reports and prepare presentations/proposals as assigned
  • Responsible for all documents related to maintenance departments including maintenance orders / reports / analysis / technician's calendar
  • Handling administrative documents within the department (vacation / absence / missions ….etc)

Job Requirements

  • Excellent written and verbal communication skills
  • Bachelor's degree
  • Knowledge of office management systems and procedures
  • Familiarity with research methods and reporting techniques
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Professional attitude and appearance
  • Good English
  • Proven work experience as a secretary or administrative assistant 2 to 4 years
  • Previous experience in maintenance department is preferred.
