Job Description
- Determine in coordination with communication manager the section objectives and requirements for events.
- Discuss contracts with different hotels to secure the best corporate rate & payment terms.
- Prepare for, implement & follow up all events including raising purchase orders, etc.
- Talk with agencies about events and offer suggestions to ensure company requirements are met. Provide at least 2 price offers before any booking processed.
- Responsible for on time booking of all events according to events plan or approved requests.
- Coordinate with concerned parties before, during and after events, maintaining a positive relationship and responding to inquiries and requests in a timely manner.
- Draft for review and then send out joining instructions to delegates/attendees at least three weeks before the event.
- Prepare badges, generate contents and then pack delegate packs for events.
- Coordinate with all concerned parties to ensure safe transfer of all tools and corporate materials to & from event site.
- Make sure the event hall is equipped properly and all equipments are functioning perfectly.
- Responsible for the protection of company equipments and its security e.g. data show, laptops, pop ups, roll ups, booth etc.
- Make sure the program of events occurs as scheduled, for example, on-time speeches and the serving of food and refreshments…..etc.
- Arrange the availability of photographer and video equipment as needed.
- Ensure that all events executed comply with company requirements and regulations.
- Overseeing the dismantling and removal of the event and clearing the venue efficiently.
- Review event bills for accuracy, and follow up with finance department to ensure payment done on time.
- Compiles post event wrap up reports, evaluations and client summaries in coordination with responsible marketing or sales staff.
- Maintain full, accurate and up‐to‐date records and files for all company events.
- Maintains inventory of facility/department equipment.
Job Requirements
- Bachelor’s degree in business administration or any related field.
- From 3-5 years of experience in organizing events.
- Excellent oral and written communication skills.
- Marked negotiation skills.
- Work well under pressure ensuring tasks are prioritized and goals are met according to agreed deadlines.
- Able to work in a team.
- Build and maintain excellent relationships with colleagues and clients.
- Thoroughness, accuracy and attention to detail in all aspects of work.
- Remain calm in the face of difficulty.
- Excellent English, verbal/written.
- Excellent computer skills.
