Job Description
Operations Manager Personal Assistant Role:
Act as the central point of communication between the Operations Manager and staff. This includes:
- Provide timely and accurate information to team members, ensuring everyone is informed about relevant updates and changes.
- Address questions and concerns from staff and management, facilitating effective resolutions to enhance workplace efficiency and morale.
- Respond promptly to requests from the Operations Manager, ensuring that operational needs and inquiries are met in a timely manner.
- Foster strong relationships with all stakeholders to promote collaboration and ensure smooth operations within the office environment.
Responsibilities:
Support Daily Operations:
- Assist the Operations Manager in overseeing day-to-day activities and ensuring adherence to company policies.
Administrative Support:
- Generate and distribute memos, letters, spreadsheets, and forms.
- Sort and manage incoming mail.
Billing Assistance:
- Prepare and send invoices to clients.
- Maintain and update client databases and track accounts.
- Oversee the invoice workflow, ensuring timely processing.
Team Coordination:
- Work with various departments to ensure alignment and effective communication, facilitating teamwork and collaboration.
- Supervise and coordinate the buffet team during service hours.
Document Management:
- Assist in copying and distributing production orders and other internal documents as needed.
- Update spreadsheets for accounting, production, and field services.
Scheduling and Coordination:
- Schedule and track meetings and appointments.
- Book flights and travel arrangements for staff as required.
Problem Solving:
- Address operational challenges as they arise, providing solutions to maintain workflow and service quality.
Any other duties as required
Job Requirements

- Good communication skills for interacting with clients and team members.
