Activities Coordinator Job Description:
- Preparing schedule for various co-curricular activities class for every academic term.
- CCA class division as per the interest of students, monitoring CCA classes, syllabus, and class performance.
- Maintaining the attendance register of CCA instructors and the students enrolled in the ECA class.
- Planning and organizing intra-college, inter-college and inter-house sports and extracurricular activities competitions.
- Planning and organizing college events such as Orientation Day, Farewell Program, International day /College Festival, Graduation Ceremony, etc.
- Preparing the financial statement of every program organized and reporting to the college management.
- Planning and organizing community service, social campaigns, and charity programs.
- Planning and organizing field trips, excursions (domestic and foreign), adventurous trips such as trekking, hiking, rafting, cycling etc. (note: an element of service/volunteering/education must be present on any trip.)
- Seek prior approval from college management before planning activities to be.
- Maintaining the record keeping of every student regarding their involvement and achievement in co-curricular activities competitions.
- Planning and organizing orientation program.
- Pre and post reporting about every plan inaction to the Executive Director and Academic Head and work as per the advice and instructions given.
- To observe at least one class of each CCA per month and to make a report on the CCA.
- To observe and ensure that the given CCA curriculum is being followed and progress is constantly tracked.
- To ensure that all CCA instructors are present during parent-teacher meetings and to update the parents about CCA.
- To maintain a duty record file of all CCA instructors along with the list of materials that has been handed over to the instructors.
- To keep stock and check the condition of all CCA equipment and to prepare purchase order accordingly when necessary to replenish old equipment.
- Responsible for planning, developing, coordinating, and supervising varied and comprehensive Co-curricular activities and trips.
- Submit recommendations for further program expansion.
- Communicate with the Teachers to arrange staffing for all activities.
- Communicate with External Providers and monitor the quality and progress of the activities run by external providers.
- Assist in the production and maintenance of all relevant publications regarding activities (brochures, website, parent portal etc. )
- Provide a point of contact for parents regarding all aspects of the activities including the payment of any due or overdue fees.
- Liaise with other school departments, such as transport, cafeteria, and finance to allow for information to be easily shared to all relevant members of staff / and to obtain approvals in adequate time.
- Orient and train external providers staff members on the nature of the program and operating procedures within the school
- Performs additional tasks as assigned.
