Job Description

Overview:

The Executive Assistant provides comprehensive administrative support, ensuring the efficient and smooth operation of the office. This role requires a highly organized, proactive, and confidential individual with strong communication and interpersonal skills.

 

Key Responsibilities:

  • Calendar Management:
    •  
      • Manage CEO's calendar, scheduling meetings, appointments, and travel arrangements.
    • Coordinate with internal and external stakeholders to ensure timely and accurate scheduling.  
  • Travel Arrangements:
    • Book travel arrangements, including flights, accommodations, and transportation.
    • Prepare and submit travel expense reports.
    • Manage the transportation, accommodations, visa issuing, and other travel services.
    • Follow and update promotional travel packages.
       
    • Deal with occurring travel problems, complaints, or refunds.
  • Administrative Support:
    • Handle general office administration tasks, such as filing, photocopying, and scanning.
    • Prepare and distribute meeting materials, agendas, and minutes.
    • Manage incoming and outgoing mail and correspondence.
  • Communication:
    •  
      • Screen and respond to phone calls and emails on behalf of CEO.
    • Provide excellent customer service to internal and external stakeholders.
    • Experience with event planning or meeting coordination.
    •  
  • Confidential Information:
    • Handle sensitive and confidential information with the utmost discretion.

Job Requirements

Qualifications:

  • Proven experience as an Executive Assistant or similar administrative role.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).  
  • Ability to work independently and as part of a team.
  • Attention to detail and accuracy.
  • Ability to prioritize tasks and meet deadlines.
  • Professional appearance and demeanor.
