Job Description

Job Purpose: Office managers are responsible for the efficient functioning of an office through a range of administrative, financial, and managerial tasks.

Reporting to: CCO                          Dotted line to: HR Manager

Main Duties:

  • Diary and travel management for a company CEO or management team.
  • Reception duties – answering calls, emails, and letters.
  • Being the point of contact for suppliers and ensuring office supplies and resources are restocked.
  • Maintaining office policies and managing health and safety procedures.
  • Keeping records of office expenditure.
  • Meeting, conference, and event planning.
  • Researching and writing reports and project work.
  • Assisting the organization’s HR function by keeping personnel records up to date, arranging interviews, employees’ activities and so on.
  • Making outbound collection calls in a professional manner while keeping and improving customer relations. (BD).

 

Extra Optional Activities: 

  • Conduct client satisfaction survey. (With both departments: BD & PD).
  • Contact new prospects through cold calling on a weekly basis, and secure initial meetings. (You will be entitled for commission in case the deal closed).

Job Requirements

  • Bachelor's Degree in Business Development or Marketing, or similar.
  • Experience of 1-3 years as receptionist, admin, or office manager.
  • Excellent writing and communication skills.
  • Interpersonal skills and ability to build rapport with clients.
  • Good listening and problem-solving skills.
  • Time management skills.
  • Creative, self-disciplined, and capable of identifying and completing critical tasks independently and with a sense of urgency.
  • Fluent in English (written & spoken)
