Requirements: 


  • A minimum of 8 years of secretarial experience in a professional service company.
  • A minimum of 5 years of experience in providing support to senior professionals.
  • Proven experience in successfully managing a team of 2 or more individuals.
  • Prior experience, preferably within a Legal Firm or Legal Department, is highly desirable.
  • Demonstrated working knowledge of research techniques.
  • Minimum typing speed of 40 words per minute.
  • Ability to communicate effectively in both bilingual and non-bilingual settings.

Primary Job Purpose:


This role entails providing secretarial support and supervising a group of secretaries in their allocated department. The selected candidate will also oversee all day-to-day administrative, finance and operational matters per the firm's policy and procedures. Like an Executive Secretary/Secretary, the Team Leader's role is based on writing common forms of legal correspondence and helping to prepare legal documents. Secretaries assist Associates by using their thorough knowledge of how to file legal documentation and, in some cases, courtroom procedures. Team leaders help generate considerable legal content used for communication between fee earners and their clients.


Duties & Responsibilities: 


  • Develop a strong familiarity with legal terminology and industry-specific language.
  • Manage a team of secretaries within their respective departments, overseeing administrative and financial tasks related to other departments and external clients.
  • Provide crucial support to the Head of Department (HOD) or Partner(s) within the department.
  • Efficiently perform typing and transcription of documentation as required by Associates or Partners.
  • Compose and type various documents, including letters, memos, correspondence, and reports.
  • Actively participate in the billing process, including the management of new matter and closing matter request forms, inputting monthly timesheets, and sending reminders for client payments. Additionally, to address client billing queries with the finance department.
  • Contribute to the recruitment of new secretaries by conducting interviews, offering objective feedback and ensuring that training for new hires is undertaken effectively.
  • Execute departmental strategic plans and take necessary actions to address performance-related issues when department objectives are unmet.
  • Participate in meetings, taking minutes when required, amending routine legal documents and correspondence and providing proofreading support as needed.
  • Adhere meticulously to the firm's policies and procedures, setting a positive example as a role model for the team.

Education & Certification:


  • Bachelor's / Associate’s Degree
