Job Description
Drivers Management & Vehicles Daily Routes:
- Receive & coordinate staff requests for car booking and schedule it according to car availability and priority.
- Organize the daily routes for all the company’s vehicles.
- Maintain weekly / daily drivers schedules to effectively fulfill operations requests.
- Monitor and track cars routes and missions to ensure no wasted time or off route car movements, that are not recorded or scheduled.
- Validate, revise and approve drivers’ expenses and custodies.
- Apply effective work plans to keep drivers overtime to the minimum and for necessary operations only.
- Responsible for drivers’ time sheets processing after validating it with GPS route.
Maintenance:
- Prepare and implement preventive regular maintenance, inspection, & service schedules for all the company’s vehicles.
- Coordinate with vendors for any repairs, maintenance, or any other services.
Periodic Reports & Monitoring:
- Collect, review, and maintain datasheets on regular basis for vehicle usage, monthly mileage, fuel consumption, asset expenses, etc.
- Monitor fuel consumption & Develop strategies for greater fuel efficiency.
- Generate monthly report with drivers’ expenses.
Handling Trucks Vehicles (Purchasing/ leasing, Insurance, Licensing & Documentations):
- Responsible for collecting quotations to make price comparison sheet, as part of car purchasing procedures.
- Process prerequisites communications/ documentations between car vendor and leasing company.
- Issue & manage motor insurance policy for new and existed cars annually.
- Well understanding of car licenses procedures in governmental affairs.
- Prepare needed licensing documents to newly purchased and existed cars, in order to issue or renew car license on time.
- Coordinate & administrate cars accidents procedures (claims and compensation).
- Follow up on fuel card issuance and retrieval.
- Maintain detailed records of all vehicles’ documents. (soft & hard filling)
- Ensure accurate logs of all cars (vehicle list, overall condition of vehicles, issue list, repair history, fuel logs, mileage logs, tire averages, etc.)
- Manage GPS installation plans, mechanics tracking and application updating and reporting.
Job Requirements
- BS Degree.
- 3-5 years of experience in fleet coordination.
- Very good command of English.
- Very good user of MS Office.
- Excellent communication skills.
- Multitask & problem solver.
- Ability to work under stress.
