Job Description

  • Provide comprehensive administrative support to executive leadership, including calendar management, travel arrangements, and meeting coordination.
  • Act as the primary point of contact between executives and internal/external stakeholders, ensuring clear and timely communication.
  • Prepare, review, and edit correspondence, reports, presentations, and other confidential documents.
  • Manage and prioritize incoming emails, calls, and requests, responding on behalf of executives when appropriate.
  • Coordinate and schedule meetings, conferences, and events, including logistics and agenda preparation.
  • Track and follow up on action items, deadlines, and deliverables to ensure timely completion.
  • Assist with project management tasks, including research, data collection, and progress tracking.
  • Maintain organized filing systems for digital and physical documents, ensuring easy retrieval and confidentiality.
  • Support expense reporting, invoice processing, and budget tracking for executive offices.
  • Contribute to process improvements and best practices to enhance administrative efficiency.

Job Requirements

  • 2-6 years of proven experience as an executive assistant, administrative assistant, or similar role supporting senior management.
  • Exceptional organizational and multitasking abilities, with a keen attention to detail.
  • Strong written and verbal communication skills, with the ability to interact professionally at all levels.
  • Demonstrated ability to handle confidential information with discretion and integrity.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Slack, Teams).
  • Experience managing complex calendars, travel arrangements, and meeting logistics.
  • Ability to work independently and proactively in a remote environment.
  • Strong problem-solving skills and adaptability to changing priorities.
  • Excellent time management skills and the ability to meet tight deadlines.
  • Positive attitude, professionalism, and a commitment to supporting executive success.
