Job Description

  • Operates telephone switchboard to answer or forward calls, providing information, taking messages.
  • Greets visitors entering company, determines nature and purpose of visit, and directs them to specific destinations.
  • Schedules meetings and appointments, maintains and updates appointment calendars within the company team.
  • Respond to customer enquiries and complaints and answer customers’ requirements
  • Design and updating filing system
  • Compose, prepare, and process general and confidential correspondence, including e-mail and faxes
  • Responds to all inquiries made by the General Manager and communicates such inquiries to the related personnel in the company or others outside.
  • Enhance the company’s image and name.
  • Coordinate deliverer activities to ensure maximum efficiency
  • Receiving Invoices issued by finance department on time and assign tasks to deliverers
  • Planning for the process of delivering goods and directing deliverers to the desired location
  • Checking up the received goods in coordination with the responsible sales representative and create delivery permission form to the concerned customer
  • Directing deliverers and follow up on them to make sure of delivering money or checks to the concerned vendor
  • Receiving cheques, invoices and form of delivery from deliverer after finishing assigned visits and submit it to the accounting department
  •  Fill in and finish their deliverer transportation forms and submit it to HR department if needed 
  • Assign tasks to deliverers according to customer’s receiving best time
  • Handle some personnel issues related to registering monthly employees vacations, excuses, leaves in coordination to HR Department

Job Requirements

  • Bachelor degree of any discipline.
  • 1-3 years of experience.
  • Pervious experience in administration is an asset.
  •  Very Good command of  written and spoken English.
  • High communication & negotiation skills.
  • Problem solver with a strong analytical mindset.
  • Outstanding  character, organizational and time management skills.
  • Very good Computer skills (Microsoft office, Outlook)
