Job Description

Job Role:

 

  • Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. May also train and supervise lower-level clerical staff.
  • Arranges travel, accommodation, itineraries, and all correspondence related to arrangements as needed.
  • Plans/organizes and implements events such as meetings, business luncheons, or client dinners
  • Prepares reports, presentations, and data, as well as maintaining files, records, and correspondence for meetings
  • Handles confidential information; organizes and maintains files
  • Prepares information and research for executive needs
  • May help plan company events, meetings, and employee team building activities or special projects.
  • Handling all calls, emails and any other correspondence to a high standard
  • Taking minutes of meetings, messages and performing other administrative duties as needed
  • To proactively manage and coordinate the CEO's calendar by setting priorities and scheduling internal and external meetings with proper documentation
  • Handle requests and inquiries promptly and effectively
  • Manage internal communications between CEO &  Other department heads
  • Produce reports, presentations, and briefs whenever necessary
  • Any other duties relevant to the needs of the CEO and as directed
  • Accompany the CEO in all meetings, externally and internally
  • Ensure the demands of the CEO are satisfied by maintaining efficient processes for filling out forms, storing data, retrieving emails, and more
  • Attend and contribute on behalf of the CEO any internal or external meetings as required

  • Able to organize and manage large amounts of files, tasks, schedules, and information

  • Comfortable in both a leadership and team-player role, manages team members, leads assistant meetings, and supervises when needed
  • Professional demeanor and attitude
  • Trustworthy, able to respect confidentiality
  • Familiarity with office organization techniques
  • Capable of multitasking; strong time management

  • Excellent verbal communication
  • Proficient with computers, especially in MS Office
