Job Description

JOB PURPOSE

  • S/He undertakes tasks related to the department and supervises the maintenance of the Physical Work Environment, ensuring the adequacy of resources and supplies necessary for daily workflow. In addition to keeping documents in line with the documentary cycle of each task.  Following up with Human Resources, Accounts, and Commercial and IT regarding the department’s staff and operations-related matters.

ROLE

  • Oversee and support all administrative duties in the office and ensure that office is operating smoothly.
  • Answers phone calls, schedules meetings and supports visitors.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Assist with in-house or off-site activities, like parties, celebrations, and conferences
  • Address employees’ queries regarding stationery, Hardware, etc..
  • Assist in the onboarding process for new hires (Fingerprint, mobile SIM, etc.)
  • Manage office supplies inventory and place orders as necessary
  • Organize the office layout and order stationery and equipment
  • Coordinate with IT department on all office equipment
  • Manage contract and price negotiations with office vendors, service providers, and office lease.
  • Registering and Renewing Agreements for Property, Hotels, Suppliers ect
  • Coordinate with the LM and IT for repairs to office equipment.
  • Maintain the office condition and arrange necessary repairs
  • Ensuring the offices are ready for daily workflow and the required resources.
  • Ensure that all Office Lease, Electric, Phone bills are paid on time.
  • Coordinate for Admin projects involving management and/logistics such as moving premises and/or relocation etc.
  • Book conference calls, rooms, taxis, couriers, hotels, flights etc. for business travel.
  • Participate actively in the planning and execution of company events.
  • Coordinate with the Commercial department to ensure timely delivery and collection of Customer contracts.
  • Supervise office cleansing
  • Ensure that the office pantry is well stocked.

Job Requirements

  • Graduate in Bachelors 
  • At least 2 years of administrative assistant experience
  • Knowledge of appropriate software including Microsoft Word, Excel, and Outlook, Microsoft PowerPoint, and Adobe Acrobat
