Job Description

  • Provide comprehensive administrative support to executives and team members, including scheduling meetings, managing calendars, and organizing travel arrangements.
  • Coordinate and facilitate virtual meetings, prepare agendas, take minutes, and follow up on action items.
  • Manage email correspondence, prioritize messages, and respond on behalf of the team as needed.
  • Assist with project management tasks, including tracking deadlines, updating project documentation, and ensuring timely completion of deliverables.
  • Conduct research, compile data, and prepare reports or presentations as requested.
  • Maintain and organize digital files, records, and databases to ensure easy access and retrieval.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Support the onboarding process for new team members by preparing documentation and coordinating virtual introductions.
  • Assist with basic bookkeeping tasks, such as invoice processing and expense tracking.
  • Continuously identify opportunities to improve administrative processes and implement best practices for remote work.
  • Maintain and update job application tracker (Google Sheets/Notion).
  • Research job opportunities, companies, and contacts.
  • Handle scheduling, calendar management, and reminders.
  • Prepare reports, summaries, and presentations as needed.
  • Manage emails, draft responses, and flag high-priority items.
  • Support with data entry, documentation, and file organization.
  • Perform basic online research and information gathering.

Job Requirements

  • 3-5 years of proven experience as a Virtual Assistant, Administrative Assistant, or similar remote support role.
  • Experience in HR is a big plus
  • Excellent written and verbal communication skills in English.
  • Strong organizational and time management abilities, with keen attention to detail.
  • Proficiency in using remote collaboration tools such as Zoom, Microsoft Teams, Slack, and Google Workspace.
  • Ability to multitask and prioritize tasks effectively in a fast-paced, remote environment.
  • Demonstrated problem-solving skills and a proactive approach to challenges.
  • High level of discretion and ability to handle sensitive information confidentially.
  • Self-motivated, reliable, and able to work independently with minimal supervision.
  • Adaptability to changing priorities and willingness to learn new tools or processes.
  • Strong customer service orientation and a collaborative team spirit.
