Job Description
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- Attend meetings and keep meeting minutes.
- Receive and screen phone calls and redirect them when appropriate.
- Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
- Make travel arrangements for Board members, event planning etc.
- Handle confidential documents ensuring they remain secure and filed properly.
- Prepare reports from different departments and present them to the CEO
- provide assistance in bookkeeping
- Maintain electronic and paper records ensuring information is organized and easily accessible
- Conduct research and prepare presentations or reports as assigned
- Handle customers and suppliers queries on phone, email or in person.
Job Requirements
- Proven experience as executive secretary , Office Manager or relevant role for at least 3 years
- Fluent in English & French languages both written and verbal is a MUST
- Degree in business administration , PR , Mass com. or relative fields
- Proficient in MS Office , Word, excel and PowerPoint.
- In depth knowledge of office management and basic accounting procedures as well as technical vocabulary of relevant industry
- Familiarity with basic research methods and reporting techniques
- Excellent organizational and time-management skills
- Outstanding communication and negotiation abilities
- Integrity and confidentiality
