Role:
Business Office Coordinator will be part of the AIS West team reporting directly to the Business Manager position aids in facilitating the operational needs of the school.
Duties
- Responsible for overseeing the day-to-day operations in the business office
- Organize Travel Arrangements for overseas teachers
- Handle sensitive information in a confidential manner
- Manage the school purchase orders through suppliers and authorizations
- Schedule and coordinate meetings, appointments and travel arrangements
- Recording Meetings and memos, letters and other documents administrated mail and correspondence
- Maintain files and records with effective filing systems
- Support other teams with various administrative tasks (disseminating correspondence, scheduling meetings etc.)
- Monitor office expenditures and handle all office contracts (rent, service etc.)
- Liason between the academics and the Business office staff
- Organize Housing arrangements for overseas teachers
- Arranging and communicating information regarding school events
- Assist in managing relationships with vendors to provide for school needs

Requirements and skills
- Applicant must hold a bachelor’s degree from an accredited university
- Highly organized with good planning skills and ability to meet strict deadlines
- Articulates, enthusiastic and self-motivated
- Excellent negotiation and problem-solving skills
- Knowledge of basic bookkeeping principles and office management systems and procedures
- Outstanding knowledge of MS Office
- Excellent English written and oral communication and interpersonal skills
- Highly Organized with good planning skills and the ability to prioritize and multi-task
- Reliable with patience and professionalism
