Job Description

 

Role:

Business Office  Coordinator will be part of the AIS West team reporting directly to the Business Manager   position aids in facilitating the operational needs of the school.

Duties

  • Responsible for overseeing the day-to-day operations in the business office 
  • Organize Travel Arrangements for overseas teachers 
  • Handle sensitive information in a confidential manner 
  • Manage the school purchase orders through suppliers and authorizations
  • Schedule and coordinate meetings, appointments and travel arrangements
  • Recording Meetings and memos, letters and other documents administrated mail and correspondence 
  • Maintain files and records with effective filing systems
  • Support other teams with various administrative tasks (disseminating correspondence, scheduling meetings etc.)
  • Monitor office expenditures and handle all office contracts (rent, service etc.)
  • Liason between the academics and the Business office staff
  • Organize Housing arrangements for overseas teachers 
  • Arranging and communicating information regarding school events 
  • Assist in managing relationships with vendors to provide for school needs

Job Requirements

Requirements and skills

  • Applicant must hold a bachelor’s degree from an accredited university
  • Highly organized with good planning skills and ability to meet strict deadlines
  • Articulates, enthusiastic and self-motivated
  • Excellent negotiation and problem-solving skills 
  • Knowledge of basic bookkeeping principles and office management systems and procedures
  • Outstanding knowledge of MS Office
  • Excellent  English written and oral communication and interpersonal skills
  • Highly Organized with good planning skills and the ability to prioritize and multi-task
  • Reliable with patience and professionalism
