Description The Role Department: Entity Governance and ComplianceLocation: DubaiRole: Team AdministratorHours: 08.30 - 17.30 The Role Due to a period of growth, an exciting opportunity has become available for an experienced Team Administrator. The successful candidate will work with the Entity Governance and Compliance team (EGC) in Dubai, providing administrative support to EGC and helping to establish/implement systems, procedures and processes to facilitate a high level of client service both to our clients and to the Business.The EGC team provides a full range of company secretarial support to offshore companies registered in the Abu Dhabi Global Market (the ADGM), the Dubai International Financial Centre (the DIFC) Jebel Ali Free Zone (the JAFZ), the British Virgin Islands (the BVI) and the Cayman Islands.Key Responsibilities General Administrative Assistance Providing administrative support/assistance to EGC.Arranging for the profiling of all third-party costs to Chrome River.Co-ordinating with the Finance Department to prepare invoices, arrange for payment of invoices, keeping track of statements of account and ensuring the timely collection of receivables.Arranging for matter openings to include conducting conflict searches, collating and submitting the necessary KYC documents to the Business Acceptance Unit (BAU), updating BAU of any material changes to existing clients, liaising with BAU in relation to sub file openings annually and matter closings.Managing the safe retention of client and Firm Powers of Attorney (POAs) and keeping schedules fully updated.Preparing and maintaining corporate bibles, ensuring all details are added/updated on relevant databases. Annually reviewing corporate bibles and requesting where required updated due diligence documents.Participating in projects and ad hoc duties as designed by the Senior Manager to benefit the EGC team and client delivery.Corporate applications, amendments and renewals (client work)Assisting with the submission of corporate applications to government authorities, which includes:preparing application forms for submission to local authorities, verifying details are accurate;scanning and filing documents on the Firms internal document management system and filing hard copies;arranging for the collation of the necessary documents for submission to government authorities;checking that the application is complete with all documents before arranging for submission to government departments;assisting with online applications.Preparing company and agency search requests.Assisting with arranging for the authentication of documents.Assisting with the annual licence and registration renewals for onshore, free zone and offshore jurisdictions.Arranging submission and timely processing of applications and facilitating the administrative aspects of all applications.Liaising with various government departments by phone/email.Ensuring all relevant licence details are added/updated on trackable databases.Obtaining certificates of tax residence, etc. from relevant government authorities and no-objection letters.Undertaking company searches and making online applications.Candidate RequirementsThe ideal candidate will:have at least 2-3 years' administration experience gained within the legal or professional services industry;knowledge of UAE systems and procedures (beneficial but not required);have a proven track record of strong organisational skills;be proactive with excellent attention to detail;be resourceful and persistent in finding solutions;have good communication and interpersonal skills;be team-oriented and able to work autonomously whilst being adaptable and flexible;be exposed to working in different cultures;have strong attention to detail and excellent organisational and time management skills; andbe able to work to deadlines and under pressure.
