Visit peraton.com to learn how we're keeping people around the world safe and secure.ResponsibilitiesPeraton is currently seeking an experienced, talented Executive Administrative Assistant to become part of Peratons' US Army Africa Mission Support program, which works to serve and protect US Army forces operating and training in Africa.Location: on-site role in Vicenza, Italy.Role: The Administrative Assistant will support their assigned Directorate staff on a variety of organizational unit and administrative matters.What you will do:Recommend, interpret, and/or implement organizational and internal administrative policies and procedures aligned with Higher Headquarters. Perform a combination of administrative tasks including event scheduling, data input, proof-reading, and travel planning, purchasing, finance, and human resources actions. Provide administrative support for critical actions in support of USAFRICOM and SETAF-AF's mission on the African continent to enhance operational capability within the directorate to synchronize various functional areas as they relate to Directorate's mission. Assist in conducting review of higher headquarters policies and procedures and captures changes and presents them to the Director. As required, prepare briefings and shall disseminate information to applicable stakeholders. Maintain the directorate level planning matrix, calendars, schedules, and other administrative information to support critical operations. Assist in special project planning to support operational requirements for the directorate. Act as the POC between the G2 HQ, Secretary General Staff (SGS), Command group, and other directorates for scheduling meetings, coordinating calendars, and coordinating admin actions.Undertake the tasks of receiving calls, taking messages and routing correspondence.Maintain a calendar which includes arranging meetings and appointments and providing reminders.Manage travel arrangements utilizing the Defense Travel System.Develop and carry out an efficient documentation including smart books for leaders and a filing system.Prepare and develop correspondence, reports, memorandums, presentations, and other forms of communication for distribution across various organizations on site and to offices off site (both Federal and non-Federal) as directed.Review correspondence for signatures from members of assigned staff, the supervisor, or other senior managers for proper format.Monitor and track correspondence as required in approved databases to ensure that all assigned suspense requirements are met.Distribute correspondence to all individuals in accordance with approved guidelines and processes.Plan, coordinate, and organize on-site and off-site events for assigned G2 staff.Maintain a thorough understanding of the mission, objectives, and organizational structure (on and off-site; Federal and contractor) of the assigned G2 office to better interface and facilitate communications with others.Communicate and interface with other Government and contractor executives, including their assigned staff, to facilitate activities as assigned.Participate in battle rhythm, document meetings, conferences, and other relevant meetings.Maintain assigned files and record systems in accordance with the Army approved guidelines.Schedule and maintain a calendar of assigned meeting space within the organization.Perform all actions required to schedule, coordinate, and setup/connect for Video Teleconferences (e.g., local resources, local and distant end participants, etc.) as required.Additional duties as required.#SETAFQualificationsBasic Qualifications:Bachelors degree and minimum of five years of relevant experience as an administrative assistant; or, an Associates degree and 7 years, or High School and 9 years of relevant as an administrative assistant. Knowledge of applications in a computerized environment, including spreadsheet applications and data bases (e.g. Excel, Word, PowerPoint, Outlook, and SharePoint).An Active Top-Secret Clearance with SCI eligibility.Preferred Qualifications: Bachelor's degree and 6+ years experience as an administrative assistant.Experience as an Administrative Assistant in a Military environment.Target Salary Range$66,000 - $106,000.
