Job Summary
The Senior Officer - Corporate Services is responsible for the efficient and effective execution of day-to-day corporate services functions, with a focus on facility management, fleet management, and operational data management.
This role supports the Senior Executive and higher management by providing accurate data, preparing dashboards, and performing basic analysis to improve operational efficiency and decision-making across Dubai Holding Community Management (DHCM) head office and all site offices.
Key Responsibilities
Corporate Services Operations & Coordination
Execute day-to-day corporate services activities to ensure smooth organizational functioning.
Support senior staff in implementing corporate services strategies and initiatives.
Data Management, Dashboarding, & Analytics
Data Collection: Accurately collect and maintain operational data related to facility assets, fleet performance (e.g., mileage, fuel consumption, maintenance schedules), and service contracts.
Reporting & Dashboarding: Prepare regular reports and dashboards to visualize key performance indicators (KPIs) for facility and fleet management.
Basic Analysis: Conduct basic data analysis to identify trends, highlight areas for improvement, and support cost-reduction initiatives.
Facility Management
Operational Support: Assist in ensuring the seamless daily operations and maintenance of DHCM head office facilities.
Asset Management: Support the tracking and basic maintenance scheduling of facility assets.
Sustainability Initiatives: Monitor and report on facility-related sustainability efforts (e.g., checking for leaks, ensuring lights are turned off).
Contract Administration: Assist in managing facility-related service contracts, including tracking service delivery and vendor performance data.
Stakeholder Coordination: Act as a point of contact for internal staff regarding facility issues and coordinate with external service providers.
Monitoring & Compliance: Conduct routine checks of facilities and maintain records to ensure adherence to basic health and safety guidelines.
Fleet Management
Operational Execution: Support the daily management of DHCM's fleet of 108 vehicles and any rental cars, contributing data to operational efficiency and cost reduction efforts.
Stakeholder Coordination: Communicate with vehicle users and internal departments regarding fleet availability and issues.
Fleet Data: Collect and maintain accurate data related to fleet performance (e.g., mileage, basic maintenance logs, fuel costs).
Emergency Support: Follow established emergency protocols for fleet incidents and ensure all data is accurately recorded.
About You
Proven experience min.
of 4-5 years in a corporate services, facilities, or logistics support role.
Strong proficiency in data management, with experience using tools like Microsoft Excel, Google Sheets, or dashboarding software.
Excellent organizational skills and a high level of attention to detail.
Strong communication and interpersonal skills, with the ability to coordinate with various stakeholders.
A proactive and problem-solving mindset.
Knowledge of basic facility and fleet management principles.
Proficiency in data analysis and reporting.
