Job Description

Job Title: Advising Program Officer

Department: HEI Public University Scholarship Program, AMIDEAST/Egypt

Immediate Supervisor: Project Director 

Location: Cairo, Egypt                                  

Position Summary: 

The Advising Program Officer is responsible for oversight of the student advising program including its budget, structure, strategy, and results, with the objective of developing and empowering HEI scholarship recipients (www.amideast.org/HEI). The Officer will monitor and support individual scholarship students studying at Ain Shams University, and coordinate student advising by other Officers of students at the other four partner universities (Cairo, Mansoura, Alexandria, Assiut). The Officer will monitor overall student continuation criteria and adherence; student program satisfaction; university advisor participation; and university support of scholarship students. The Officer will track and monitor student progress to ensure that all student needs are met (including the needs of students with disabilities), ensure that students are adjusting to independent university life and being away from home, are performing academically, are participating fully in all enhancement activities, and are supported in securing work following graduation. The Officer will supervise two Program Assistants. 

Responsibilities:

Student Monitoring and Support – Ain Shams University

  • Track and monitor student progress to ensure that all student needs are met and all students are on track in coordination with University advisors
  • Check all students’ progress and alignment with requirements each semester and at the end of each summer
  • Ensure that students are adjusting to independent university life and being away from home, are performing academically, are participating fully in all enhancement activities, and are supported in securing work following graduation
  • Support students, identifying when help is needed beyond university advisors’, peer coaches’ and mentors’ support
  • Visit students on campus four times per year (some travel may be required)
  • Regularly collect and contribute M&E data on your students per the M&E plan
  • Regularly collect and submit cost share data, and develop new sources of cost share

Advising Coordination

  • Ensure that AMIDEAST advising and support of students is being applied consistently and productively, and the students needs are being met by AMIDEAST and their university.
  • Apply an approach to student advising that all advisors can follow, which will result in students developing the desired skills, character, and behaviors.
  • Create and update student advising forms, provide training on their use to the team and university advisors, and monitor the collection of student forms
  • Approve student requests (books, equipment, transportation, etc.), submitted by Student Officers, to ensure that the request is within the set regulations
  • Ensure that all students have a university advisor, and train university advisors in an informal way, on the goals and details of the scholarship, required forms and regulations, and how to advise students (as necessary)
  • Monitor and report on overall student results (placement, grades, continuation criteria, etc.) to the Project Director, as well as data for reporting
  • Note any issues or concerns with students and our processes related to student advising, and develop solutions or approaches
  • Oversee psychological support and dental insurance programs
  • Develop content to be shared with students through Facebook, newsletters, or other set communication tools

The HEI Public University Scholarship Program will provide underserved students from across Egypt with high quality undergraduate education in Egypt, and the skills and knowledge to participate actively and responsibly in their communities and contribute to the economic development of the country. Sponsored by the U.S. Government, in partnership with the Government of Egypt, the Local Scholarship Program is part of the U.S. –Egypt Higher Education Initiative.

Job Requirements

Required:

  • Bachelor’s degree in a relevant field, such as education, business administration, communications, or economics
  • Minimum of 5 years of experience managing and implementing scholarship or training programs, advising youth, and/or working in and with the Egyptian university system
  • Experience in scholarship management and/or student advising
  • Fluent in English and Arabic; with excellent written and oral communication
  • Excellent interpersonal skills, including conflict resolution abilities
  • Demonstrated project management, organizational, and leadership skills
  • Egyptian citizen

Preferred:

  • Master’s degree in a relevant field
  • Experience in recruitment for scholarships and/or exchange programs
  • Demonstrated understanding of how to support students with disabilities
  • Experience in coordinating training programs and/or delivering training
  • Experience working in the private sector
  • Minimum of 650 TOEIC score or equivalent
