- Manage, maintain and follow up GM schedules, time, and appointments for internal and external.
- Prepare, Handle, coordinate and follow up GM meetings online & offline to ensure effective organization for meetings as well as meeting objectives are met.
- Prepare meeting agenda and share it with concerned parties to ensure meeting objectives are communicated.
- Handling GM’s personal & family agenda including (Clubs membership and renewals, schools payments, and other family inquiries)
- Control- up, follow, and report all activities related to charity funds including (Cases, files, and cash management) and communicate with related associations and entities.
- Attend, take notes and summarize meeting notes and minutes and share them with concerned parties, follow up and provide related reports and action plans for those minutes.
- Conducting research, collecting, analyzing, summarizing & visualizing data preparing presentations and reports, and any other requests by the GM.
- Prepare and handle GM E-mails, letters, memos, quotations, document proposals, and any other corresponding required for the business on needs and instructions of the GM and carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
- Create, follow and oversee tasks provided by GM using TASKEDIN to the group members as received from GM and provide reports and follow-up ratings are granted.
- Facilitate all travel (Domestic and International) arrangements for the GM through handling visa issuing, flight bookings, hotel bookings, airport pick up, drop down, and invoices.
- Develop and maintain and update filing & documentation system for all related corresponds to ensure data are saved and recalled smoothly.
- Prepare and handle agenda of group monthly meeting including collecting slides, organizing talks, and meeting flow to ensure the meeting is effectively organized.
- Manage, follow and control purchasing function including receiving PRs issuing get quotations and good delivery and requester confirmations and providing reports and following payment & invoices.
- Supervise, monitor, Coach, and control Drivers, Front office team, and company reception operations to maintain a good company image with visitors and clients.
