Job Description

  • We are currently on the search for a People Operations Lead for one of our clubs

Job purpose:

  • You will be responsible for leading seamless people operations activities with regards to total rewards, benefits administration, payroll, HRIS and personnel, in accordance with the company policies and practices and the Egyptian laws.

What do we expect from you: 

Key responsibilities:

1- Total Reward:

  • Work with the P&C Manager on preparing and tracking the annual people Budget
  • Conduct regular total compensation market analysis to confirm market competitiveness and internal equity
  • Participate in annual salary surveys and seminars
  • Conduct various analysis to evaluate and enhance the implemented compensation programs and propose solutions for potential challenges
  • Prepare offers for new hires following the company total reward strategy and adhering to set pay structure
  • Lead the annual compensation cycle (merit increase, bonus…etc)
  • Analyze turnover and work with the manager and Department colleagues on programs for increasing retention and reducing Turn Over
  • Propose recognition programs to recognize high performance and values ambassadors
  • Manage the life and medical insurance including: identifying best service provider within the approved budget, surveying employees’ satisfaction, supervising the medical insurance operations and ensuring getting the best service to the employees
  • Monitor and review the medical utilization report received from the provider and identify areas of optimization and validate received data
  • Constantly work with the P&C Manager on developing and proposing benefits programs
  • Maintain a strong focus on employee relations and attending to their inquiries with regards to compensation and benefits activities

2- Payroll

  • Process the monthly payroll in compliance with the social insurance and income tax and any other taxes or dues as per the regulations
  • Ensuring that all data related to monthly salary calculations are entered correctly (days off, unpaid leave, absence, sick leave, deductions, allowances…etc.)
  • Implement, maintain, and review HRIS payroll processing system to ensure timely and accurate processing of payroll transactions
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates.
  • Prepare and maintain accurate records and reports of payroll transactions

3- HRIS

  • Oversee the daily operation of the company HR Information Systems
  • Ensure the system is functioning properly and smoothly
  • Ensure employees’ data and changes are accurately and timely entered/updated on the system
  • Ensure any policy changes are reflected on the system parameters such as taxes, social insurance, benefits…etc)
  • Oversee the orientation and training conducted to users and ensure timely attending to employees and Managers’ inquiries or needs for support

4- Personnel

  • Ensure hiring and termination regulations, policies and procedures are strictly followed
  • Ensure all documentations, employees’ files and data are always updated, safeguarded and available at all times electronically and in hard files in accordance to company policies and regulating laws
  • Ensure compliance with the laws and regulations
  • Ensure Social insurance process are properly managed
  • Ensure social insurance dues are timely settled
  • Monitor leaves balances and plans and discuss and propose solutions to the P&C Manager
  • Oversee the development of and adherence to the personnel policies

5- Data privacy:

  • Responsible for safeguarding employees’ data of all forms either sensitive or non sensitive or else will be subject to disciplinary action that might lead to dismissal

6- People Management:

  • You will act as the ambassador of KODE culture and ensure integrating it in the teams’ mind and heart
  • Ensure attracting and bringing on board people with the right attitude and competencies
  • Set the teams goals and KPIs and ensure providing continuous feedback and timely address  any issues
  • Best utilize the team’s capabilities to help them grow

7- Health and Safety:

  • Ensure the team are strictly adhering to the HSE instructions

8- Reporting:

  • Monthly payroll, headcount and Turn over
  • Budget report
  • Social insurance and income tax report to finance to settle the payment
  • Department activity report

9- Continuous improvement:

  • Stay up to date with the latest compensation and benefits practices, programs and trends
  • Constantly review the set policies to best serve the operations and employees’ experience within the set regulations
  • Conduct monthly meeting with own team to discuss challenges and opportunities
  • Partner with your department peers to see to any improvement to support the business

Job Requirements

What do you need to perform your role:

To perform your job successfully, you need to have the following minimum requirements:

Education and experience:

  • Bachelor's Degree in Business administration or a relevant discipline
  • Postgraduate study in HR is a must
  • Minimum 7 years proven work experience primarily in payroll processing and / or Total Reward

Skills and knowledge:

  • High numerical skills
  • Perfect knowledge of Labor, Income Tax, and Social Insurance legislations.
  • High accuracy and high attention to details
  • Analytical skills
  • Knowledge of HR systems and databases
  • Ability to architect processes along with leadership skills
  • Excellent communication and presentation skills
  • Excellent proficiency in English
  • Excellent advanced Excel proficiency is a must
  • Strong partnership skills with internal and external stakeholders
