Job Description
- Maintaining the COO's appointment schedule by planning and scheduling meetings, conferences and travel.
- Conserves the COO's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating communications.
- Maintains customer confidence and protects operations by keeping information confidential
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Preparing and managing departmental budgets
- Compiling, distributing and filing the following management reports:
- Daily Operations Report
- Monthly and Quarterly Management Reports for the Senior VP, Operations o Country reports and presentations
- Annual Information Form
- Assisting with collating and distributing other reports as and when required
Job Requirements
- A degree in Business Administration (or equivalent) is desirable
- Computer literate – excellent skills in the Microsoft Office suite of programs (Excel, Word, Powerpoint, and Outlook)
- Knowledge of phone and voice mail systems
- Have a working knowledge of Records Management terminology, concepts, and procedures
- Previous experience of being a ‘gatekeeper’ is advantageous/being the first point of call Strong communication skills, with the ability to work effectively at all levels
- Experience of working in a fast-paced environment, with strong attention to detail, accuracy, and ability to meet deadlines
- Fosters teamwork. Works effectively with others to resolve problems, and makes decisions that enhance organizational effectiveness
- A motivated, resourceful, self-starter who can work independently with minimal direction
