Job Description

Position Summary: 

The Program Assistant will support the Program Officer in the monitoring and support of students in the Public University Scholarships program and the implementation of functional aspects of the program by providing administrative and logistical support for student advising at Alexandria and Mansoura Universities and at enhancement programming for all students. Activities may include data entry, drafting and processing documents, arranging orientations and workshops, contacting students, creating student reports, making phone calls, collecting data, coordinating appointments and meetings, and timely and accurate filing of key project documentation.

 

Responsibilities:

 

  • Finalize all the required files of the M&E for the Enhancement activities.
  • Participating in updating the students update report on quarterly basis, IQMs, blurbs and disciplinary actions.
  • Manage student-led conferences; design surveys for the student led conferences, revise the student’s applications, select the leaders, plan for their training including media and marketing process preparation and conference implementation. 
  • Design and implement virtual language and culture exchange programs.
  • Coordinate with the testing department to conduct ITP and TOEIC exams for the scholarship students.
  • Communicate with university staff for arranging meeting, reserving classrooms and any other issues needed.
  • Track student completion of activities and requirements and ensure that the student monitoring database is up to date.
  • Communicate with students, advising on policies and required paperwork.
  • Draft program documents including formal university letters, success stories, and report components.
  • Maintain program files and documentation in an organized manner.
  • Coordinate logistics with Alexandria and Mansoura Universities and for the Program Officer’s trips.
  • Keep the record of and follow up on cost share documentation requests.

Arrange for meetings.

Job Requirements

  • Qualifications and Skills:
     

   Required:

  • Bachelor’s Degree in any relevant discipline such as education or business.
  • Proficient in using Microsoft Word, PowerPoint, Excel and Outlook.
  • Excellent English and Arabic proficiency.
  • Organization and problem-solving skills.
  • Strong writing skills.
  • Excellent attention to detail.
  • Passion for youth development.
  • Egyptian citizenship

 

            Preferred:

  • A minimum of 4 years of work experience.
  • Demonstrated experience with program administration or project management.
  • Time management skills.
  • Team Player.
  • Interpersonal Skills.
  • TOEIC score of 600 or equivalent.
