Job Description

  • Assist the CEO in the timely management of communications; including written, telephone, email, and voicemail.
  • Compose and edit letters, documents, emails, proposals and ensure follow up with those that require answers, responses, and written replies.
  • Assist in the management and organization of the CEOs calendar by scheduling appointments, meetings, engagements, and daily activities, including running errands.
  • Manage and coordinate travel for both business and personal arrangements.
  • Spend time and become familiar with all aspects of business and residence.
  • Assist in screening calls, email, transmittal, and visitors. 
  • Prepare agendas, attend meetings, and transcribe correspondence from handwritten notes.
  • Coordinate onsite meetings, luncheons, coffees, in-house events.
  • Assist in file organization via Dropbox.
  • Assist in CRM input and edit (customer relation management).
  • Coordinate direct campaigns (or ability to learn social media campaigning).
  • Coordinate the hosting of in-house events.
  • Greet and check-in clients and other guests for meetings and events.
  • Perform variety of office and personal errands.
  • Coordinate and manage vendors and contractors at office and/or residence.
  • Conduct ad-hoc research.
  • Draft simple spreadsheets.
  • Light cleaning and organizing.
  • Designing and producing documents, briefing papers, reports, and presentations.
  • Organization of corporate & company entertainment, management meetings, and events.
  • Oversee office procurement and overhead spending as per budget.
  • Carry out specific projects, research, and administration as required by the CEO.

Job Requirements

  • At least 5 years’ experience of which 3 years as a PA preferably to CEO.
  • Excellent written and oral communication skills in English is a must.
  • Excellent word processing and IT skills, including a range of software packages and Microsoft Office (Word, Excel, PowerPoint and Outlook Express) and Windows Operating System.
  • Honesty, reliability and an understanding of confidentiality issues is a must
  • Exceptional presentation skills.
  • The ability to work at her own initiative and to tight deadlines.
  • Multi-tasking and flexible to work extra hours to meet deadlines.
  • Strong administrative and personal assistant skills with an ability to work well in a fast-paced environment.
  • An effective planner with proven time management skills are necessary.
  • Attention to detail, personal commitment, efficiency, flexibility with great team liaison skills.
  • Solid knowledge of business management items from company secretarial, business registration, proposals, reports, record management, and client liaison is highly desirable
