Job Description
- GENERAL JOB OBJECTIVE:
Support high-ranking officials in our company. Organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks. Contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently
- MAIN DUTIES AND RESPONSIBILITIES:
- Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
- Attend meetings, keep minutes and distribute to all concerned.
- Receive and screen phone calls and redirect them when appropriate.
- Handle and prioritize all outgoing or incoming correspondence (email, letters, packages etc.)
- Make travel arrangements for executives.
- Handle confidential documents ensuring they remain secure
- Maintain electronic and paper records ensuring information is organized and easily accessible.
- Conduct research and prepare presentations or reports as assigned.
- Provide administrative support to the Management team.
- Schedule and coordinate appointments, meetings and events, including registration and travel arrangements as necessary.
- Transcribe drafts, proofread and revise correspondence, memos, flyers, agendas, minutes, resolutions and policies.
- Assists specific personnel in meeting preparation, set-up and clean up.
- Exhibit ability to constructively deal with conflict and afford effective resolutions.
- Exhibit willingness to ensure successful inter-departmental relationships.
- Prepare for monthly and special Board meetings
- Provide administrative support for the completion of documentation of Board agenda items.
- Provide transcription and dictation of Board meeting minutes.
- Act as custodian of executive meeting minutes, resolutions, Administrative Code updates and other regulated documents.
- Disseminates information to department managers and personnel regarding changes to documents, policies and procedures, providing.
Job Requirements
- At least three (3) years of experience as an Executive Assistant or Secretary in a reputable organization within Egypt.
- Excellent communication in English and Arabic.
