Job Description

  • GENERAL JOB OBJECTIVE:

Support high-ranking officials in our company. Organize and maintain the executive’s schedule and assist them by performing a variety of administrative tasks. Contribute to the efficiency of the overall business by ensuring all assigned administrative duties are carried on timely and efficiently

  • MAIN DUTIES AND RESPONSIBILITIES:
  1. Maintain executive’s agenda and assist in planning appointments, board meetings, conferences etc.
  2. Attend meetings, keep minutes and distribute to all concerned.
  3. Receive and screen phone calls and redirect them when appropriate.
  4. Handle and prioritize all outgoing or incoming correspondence (email, letters, packages etc.)
  5. Make travel arrangements for executives.
  6. Handle confidential documents ensuring they remain secure
  7. Maintain electronic and paper records ensuring information is organized and easily accessible.
  8. Conduct research and prepare presentations or reports as assigned.
  9. Provide administrative support to the Management team.
  10. Schedule and coordinate appointments, meetings and events, including registration and travel arrangements as necessary.
  11. Transcribe drafts, proofread and revise correspondence, memos, flyers, agendas, minutes, resolutions and policies.
  12. Assists specific personnel in meeting preparation, set-up and clean up.
  13. Exhibit ability to constructively deal with conflict and afford effective resolutions.
  14. Exhibit willingness to ensure successful inter-departmental relationships.
  15. Prepare for monthly and special Board meetings
  16. Provide administrative support for the completion of documentation of Board agenda items.
  17. Provide transcription and dictation of Board meeting minutes.
  18. Act as custodian of executive meeting minutes, resolutions, Administrative Code updates and other regulated documents.
  19. Disseminates information to department managers and personnel regarding changes to documents, policies and procedures, providing.

Job Requirements

  • At least three (3) years of experience as an Executive Assistant or Secretary in a reputable organization within Egypt.
  • Excellent communication in English and Arabic.
  • Presentable.
