Job Description

The Executive Administrative Assistant will report to the Head of Administration of Uptown International School. 

General Responsibilities

  • Provide secretarial duties, including, but not limited to:
  • Answering emails
  • Answering phones
  • Organizsing and maintaining files, both electronic and hard-copy
  • Organizing meetings and recording proceedings as minutes as required
  • Organizing events and preparing presentations and promotional and other materials
  • Assisting in the production and distribution of school newsletters, social media, and more
  • Distributing and collecting forms, surveys, and other required documents
  • Organizing travel arrangements for school leadership
  • Maintain the school’s calendar(s)
  • Serve as translator in Arabic and English
  • Conduct research as required
  • Monitor the use and supply of office supplies including stationery
  • Other duties as assigned
  • Maintain positive relationships with all stakeholders, communicating often and with quality
  • Working with the Head of Administration to liaise between departments
  • Ability to keep all correspondence and reports confidential
  • Complete other tasks as assigned by school leadership

Job Requirements

Qualifications

  • Bachelor Degree
  • Minimum three years of experience in a similar or related field, preferably in an organisation with multiple nationalities
  • Excellent English and Arabic speaking, reading, and writing skills
  • Ability to speak French preferred
  • Highly developed computer skills, including ability to learn and utilize Microsoft Word and Google products
  • Excellent presentation skills with ability to multitask and meet deadlines
  • Proactive with the ability to self-manage and work independently with attention to detail
