Job Description
Event Planning & Organization:
Work with clients to understand event objectives, goals, and requirements.
-Create detailed event plans, including timelines, budgets, and schedules.
-Coordinate all logistical aspects of the event, including venue selection, transportation, catering, entertainment, and equipment.
Vendor & Supplier Management:
-Source and negotiate with vendors and suppliers (e.g., caterers, decorators, AV technicians).
-Maintain relationships with vendors and ensure services are provided according to agreements.
-Ensure quality control by evaluating vendor services before, during, and after the event.
Budget & Financial Management:
-Develop and manage event budgets, ensuring that events are executed within financial constraints.
-Track expenses and manage payments to vendors, ensuring timely invoicing and payment processing.
Client & Stakeholder Communication:
-Serve as the primary point of contact for clients, addressing their questions, concerns, and preferences.
-Collaborate with internal teams (marketing, sales, operations) to ensure the event aligns with company objectives.
-Provide regular updates to clients regarding event progress and any adjustments that may need to be made.
Event Execution:
-Oversee event setup and breakdown, ensuring that all elements are in place and function as planned.
-Coordinate staff, volunteers, and event participants, ensuring clear communication and smooth operations.
-Manage any last-minute issues or challenges that arise during the event, including troubleshooting technical difficulties.
Marketing & Promotion (if applicable):
-Assist with event promotion, including social media marketing, invitations, and event registration.
-Collaborate with the marketing team to develop event materials, including signage, brochures, and presentations.
Post-Event Evaluation:
-Conduct post-event assessments to evaluate the success of the event.
-Gather feedback from clients and participants to improve future events.
-Prepare event reports, including budget reviews and performance assessments.
Job Requirements
Job Requirements:-
-Education: Bachelor’s degree
-Experience: At least 6 months experience
-Experience in managing virtual or hybrid events ( prefered in smart phones)
-Knowledge of social media tools and digital marketing.
