Job Description

  • Calendar management: Not as in scheduling time, more as in making sure that every one meeting with you is well prepped. Proper agenda, purpose of meeting (working session versus decisions), presentation content (insights versus data), and so on. should be responsible that any meeting on calendar becomes as effective as possibly be
  • Action items master planning: Holding a master plan of major actions needs follow-up from one meeting to the other and to make sure they are being taken care of. Usually a weekly check-in with you on this entire master plan to make sure things are moving in the right direction
  • Story lining board/ external presentations: Self explanatory, you need someone that can translate your thoughts into a decent story lined presentation
  • Relationship and conflict management: Need to be able to establish good relations with your N-1’s and N-2’s, and is able to push a culture of cross-cultural collaboration to get things done (stop the email chaser culture)
  • Becoming your personal confidant and thought partner: Although you will find this in different pocket in the organization, you will be spending a lot of time with your , so it’s important that you feel you can bounce ideas off that person and get some good thoughts from them. Also, the more that person is able to understand what is going on with the organization, the better they will be able to guide the content that people are putting together for you.
  • Resourceful and is a good researcher: In many cases being outside of the industry we need to depend on a bunch of external resources to know left from right (friends, google, access to industry experts, etc…). You might want in some cases to learn about a specific topic, and your  should be responsible to compile some content to help you get a decent idea and go in depth if needed.
  • Project management: In some cases the  is able to work on large cross functional projects that you see as top priority. Not necessarily as a content leader, but more from a co-ordination and making sure everything is getting done perspective.

Job Requirements

  • Degree in business administration or relative field
  • Proven experience as admin manager or similar administrative role
  • Outstanding communication and negotiation abilities
  • Familiarity with basic research methods and reporting techniques
  • In depth knowledge of office management and basic accounting procedures.
  • At least 5 years of experience as office manager or CEO assistant
