Job Description

Job Purpose

  • Provide high-level administrative support to Marketing & Sales Teams and perform duties efficiently by managing internal and external communications, planning, scheduling meetings & appointments and keeping all paperwork & electronic files up-to-date and well organized. Prepare required monthly sales & leasing reports for both residential and commercial offices functions as well as the Department’s Dashboard highlighting the monthly results versus targets.

Key Accountabilities

  • Issue official all external correspondences.
  • Maintain the general filing system up-to-date making sure documents are scanned, electronically filed and regularly backed-up and kept secured in a safe place.
  • Prepare regular reports, dashboards and presentations.
  • Keep control of inventory of units in coordination with Development Department.
  • Communicate, liaise and synchronize data on sold units with Finance and Development Departments.
  • Distribute commercial sales leads among sales staff and keep log of information.
  • Supervise the Sales Reception activities and make sure Leads data is properly recorded and distributed and the Sales Centre is always in good condition and appropriate for receiving clients & guests.
  • Supervise the Store activities and make sure the inventory of marketing material, decorations, BTLs and giveaways are in well kept, distributed and records are accurately posted.
  • Provide full support to staff in their absence and provide help to all team members during Sales and Marketing events.
  • Liaise with HR regarding the annual balance of vacations for Sales & Marketing Teams and Prepare “Monthly Attendance Sheet” for Department.
  • Make travel arrangements when required, issue payment recommendations of travel and other expenses for team members.
  • SAP input information as required.

Job Requirements

  • Minimum Qualifications and Knowledge: BA
  • Minimum Experience: 3 - 5 Years
  • Job-Specific Skills: Word ( English and Arabic), Excel, PowerPoint, SAP
