Job Description

Responsible for the management and running of the College’s UK public examinations, associated mock examinations and various internal assessments.

  • Liaise with the British Council, awarding bodies, Heads of Departments (HODs) and/or any other member of staff and pupils to ensure that the correct entries are made for all examinations and to ensure coursework, examination entries and other requests / changes are submitted within set deadlines;
  • Draw up examination timetables as soon as is practicable in order to determine issues related to examination clashes, invigilation, study leave and general College planning;
  • Make appropriate timetabling and room arrangements for the above, ensuring proper coordination with the British Council and assigned College Supervisor
  • Disseminate all the necessary relevant information about examinations to staff, pupils and parents (including examination costs) in good time, updating the Parent Portal and other systems;
  • Issue rules of conduct and guidance to staff for all examinations and assessments;
  • Liaise with the Head of Learning Support to organize appropriate access arrangements for all pupils who have special educational needs for exams and with the Head of Secondary College regarding any special considerations or other requirements;
  • Establish, in liaison with the Assistant Head (Academic), contingency plans in case of emergencies including power cuts, adverse weather conditions, transport strikes etc.;
  • Invigilate internal and public examinations, if required;
  • Ensure all examination papers and stationery are delivered safely to the College, be responsible for their strict security and ensure completed papers are collected and dispatched promptly and appropriately;
  • Manage the daily running of examinations and attend all public examination sessions (time will be given in lieu), supply all necessary stationery and materials related to the smooth running of the examination system, including question papers;
  • Be present at the College on the day the College is notified of GCSE and A level results and on publication day, processing and issuing examination results in line with official requirements and timelines and College policies and procedures, and making documentation available to the Head of Secondary School in a format which is easily accessible so that effective examination analysis can take place immediately after results have been received and processed;
  • Be available on publication day and the weeks following to deal efficiently with post-results enquiries, processing and dealing with requests for remarks, submitting them to the examination boards and feeding back results to relevant staff, pupils and parents;
  • Advise departments and pupils on grade thresholds and the submission procedure for post-results requests;
  • Check all examination fees and charges from the British Council and/or each examination board and liaise with the Finance Department on the payment of examination fees according to the College’s charging policy;
  • Provide statistics for the Board of Management and any external organization (such as COBIS) subject to the approval of the HM
  • Keep up to date with the necessary policies, procedures, rules and regulations laid down by the different examination and ensure relevant staff are fully updated on all dates, changes in examination procedures, entries and results;
  • Keep up to date records and procedures for any onsite examination related inspection;
  • Receive examination certificates and make arrangements for their issue;
  • Manage archive files and historical data relating to assessment and examination results and deal with enquiries from former pupils;
  • Ensure that any data protection regulations are complied with;
  • Provide training for staff relating to examination processes and protocols, and create instruction manuals to be used by staff; identify training needs of MCE examination staff and organize appropriate development opportunities in liaison with the Head of Secondary School and Head of HR;
  • Participate in appropriate Continuing Professional Development (CPD) by attending relevant training sessions;
  • Be aware of the College’s Health & Safety Policy;
  • In conjunction with all staff of the College, support, promote and act within the College’s Safeguarding & Child Protection Policy.
  • Advise, and work with, the Head of Sixth form and University Counsellor on local and regional regulations related to external examinations and university entrance requirements.

Job Requirements
