Job Summary:
As a Document Controller , your primary responsibility will be to manage and control all project-related documents and records, ensuring their accuracy, accessibility, and compliance with company and industry standards. You will play a crucial role in facilitating efficient project workflows and maintaining a well-organized documentation system.
Key Responsibilities:
- Document Management:
- Create, receive, distribute, and maintain project documents, including drawings, specifications, contracts, correspondence, and reports.
- Organize and categorize documents according to project, phase, or department.
- Ensure all documents are properly named, dated, and version-controlled.
- Enter and update information in the document control database or software system.
- Maintain accurate and up-to-date project records and logs.
- Perform regular quality checks to identify and rectify data discrepancies.
- Facilitate the distribution of documents to project team members, subcontractors, and stakeholders.
- Track and confirm document receipt and acknowledge any requested changes or revisions.
- Ensure that all project documents adhere to company standards and industry regulations.
- Implement document control procedures and policies to maintain data integrity.
- Respond to requests for documents promptly, both within the organization and from external parties.
- Maintain an efficient document retrieval system for quick access.
- Properly archive and store documents upon project completion or as per company guidelines.
- Assist with records retention and disposal in compliance with legal requirements.
- Generate regular and ad-hoc reports on document control activities and status.
- Identify trends or issues related to document management and propose solutions.
- Collaborate with project managers, architects, engineers, and other stakeholders to ensure seamless document flow.
- Provide training and support to team members on document control processes and tools.
Requirements
Qualifications:
- Bachelor's degree in a relevant field or equivalent work experience.
- Proven experience in document control, preferably in the construction or interior fit-out industry.
- Proficiency in document control software and Microsoft Office Suite.
- Strong organizational and multitasking skills.
- Attention to detail and a commitment to maintaining data accuracy.
- Excellent communication and interpersonal skills.
- Familiarity with industry standards and regulations related to document control.
