Job Description

We are looking to hire an office manager with exceptional administrative and clerical skills to;

  • Mange and arrange CEO office.
  • Provide executive and administrative support to Chairman.
  • Maintain executive’s agenda and assist in planning appointments, board meetings, travel arrangements, etc.
  • Attend meetings and keep minutes
  • present performance report for all departments on daily basis.
  • Write letters for the Chairman and CEO.
  • Organize and present information timely and accurately.
  • Organize the Chairman’s calendar and arrange meetings.
  • Remind the Chairman of important tasks and deadlines.
  • Receive and screen phone calls and redirect them when appropriate
  • Handle and prioritize all outgoing or incoming correspondence (e-mail, letters, packages etc.)
  • Make travel arrangements for executives
  • Handling personal needs of the Chairman.
  • Handle confidential documents ensuring they remain secure
  • Prepare invoices or financial statements and provide assistance in bookkeeping
  • Monitor office supplies and negotiate terms with suppliers to ensure the most cost-effective orders
  • Maintain electronic and paper records ensuring information is organized and easily accessible
  • Conduct research and prepare presentations or reports as assigned
  • Purchasing office supplies and equipment and maintaining proper stock levels.
  • Resolving any emergency issues concerning administrative side.

Job Requirements

  • Fluent Eenglish only
  • Good knowledge about import and export process is preferable
  • Only females are required.
  • Degree in  Commerce or business administration.
  • Executive secretaries are expected to multi-task and work well under pressure in a fast-paced environment.
  • Certificate in business administration or related.
  • 5 years of experience in an executive secretary role.
  • Methodical thinker with detailed research proficiencies.
  • Thorough understanding of clerical and secretarial principles.
  • Strong knowledge of databases and tracking systems.
  • Fantastic organizational skills and detail-oriented.
  • Ability to work under pressure and meet deadlines.
  • Brilliant written and verbal communication skills.
  • Proficient in Microsoft Office, and business communication software
