Job Description
- We are looking for a versatile and highly-organized personal assistant to perform personalized administrative duties for senior management.
- In this role, you will be responsible for scheduling meetings, taking notes, and handling correspondence on behalf of managers.
- You may also be required to make travel arrangements and assist with other duties when required.
- Accomplished personal assistants are intuitive to the needs of the managers and work autonomously to provide customized administrative support.
- Support Business development activities
- Arrange and handle all logistics and events
- Calendar management ;
- Schedule meetings; draft agendas; develop, compile, and distribute presentation materials
- Record meeting minutes
- Assist with special projects;
- Design and produce documents, reports, and presentations;
- Maintain a sound filing system
- Collect and prepare information for meetings with staff and outside parties;
- Compose and prepare correspondence;
- Maintain contact lists;
- Make travel arrangements;
- Complete expense and mileage reports.
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities,
- Follow up appropriately.
- Coordinate all Executive Team meetings and retreats and assist with staff meetings and events as needed.
- Handle all aspects of organization’s office services
- Assist in the selection of vendors and purchase equipment, services, and supplies necessary for operation of organization.
- Replenish office materials such as snacks, printer supplies, paper, office supplies, etc
- Provide event management support as requested.
- Provide hospitality to all guests and help to create a welcoming environment.
- Answer main phone line and respond to inquiries.
- Process and distribute daily mail.
- Invest in building long-lasting relationships both externally and internally
- Manage petty cash reimbursements and reconciliation
- Comply with applicable rules and regulations

Qualifications:
- Proficiency with Microsoft Office and desktop publishing software;
- Ability to design and edit
- Graphic presentations and materials.
- Verbal and written communication skills.
- Organizational skills and attention to detail.
- Professionalism in dealing with diverse groups of people, including Board members, senior
- Executives, staff, clients, business partners & stakeholders
- Ability to learn and ready to support on a high volume of tasks and projects.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Ability to switch gears at a moment’s notice.
- Ability to deliver smooth day-to-day engagements

- Maintain credibility, trust, and support with stakeholders .
- To ensure success as a personal assistant, you should exhibit excellent organizational skills and demonstrable experience in a secretarial role.
