Job Description
Personnel coordination
- Serves as liaison between Personnel Suppliers/Vendors, and the company’s departments.
- Maintaining records of personnel-related data in both paper and the database and ensure all employment requirements are met including performance evaluations, appointment contracts, hiring paperwork, and other personnel documents.
- Redirect or distribute correspondence/medical cards/bank cards to the relevant team members
- Establish an effective tracking system for the hiring/resignation status per employee (including Employees ID’s, Titles, joining dates, …etc.) and ensure correct and timely reporting.
- Monthly review of Payroll, Overtime, Medical Insurance …etc. provided by the Personnel Suppliers/Vendors in line with the internally developed tracking system.
- Communicate approved/ correct payment values to the Commercial Coordinator, to procced with IPC’s and GR’s.
Fleet / Transportation coordination
- Establish an effective tracking system for the overall fleet/transportation status based on the Fleet/Transportation Purchase Orders (including PO reference, assigned Project, assigned Project Manager, number of cars, payment terms, … etc.) in one compiled spread sheet and ensure correct and timely reporting.
- Monthly review of Invoices, Fuel Records, Driver’s Overtime … etc. provided by the Fleet/Transportation Suppliers/Vendors in line with the internally developed tracking system.
- Assist and support the Commercial Manager in daily tasks.
- Maintain and manage commercial and personnel files and records in an organized manner.
- Coordinates effectively with other project disciplines.
Job Requirements
- A Bachelor’s Degree in Business Administration, Human Resources or a related field.
- 2-4 years of related experience, or an equivalent combination of education and experience.
- Fluent written and spoken English and basic French knowledge is preferable.
- Proven experience as an HR coordinator or relevant human resources/administrative position.
- Strong ability in using MS Office (MS Excel and MS PowerPoint, in particular)
- Ability to work with SAP.
- In-depth understanding of sourcing tools, like resume databases.
