Job Description
Key responsibilities and accountabilities
Assist boards affairs team and aid in the general processes of the department in all jurisdictions. Taking minutes of meetings, developing agendas, and following up on any directions. Managing and maintaining trackers, ensuring these are kept up to date at all times. Organize and maintain record of resolutions and minutes of meetings and any other related documents to the shared drives for each board. Follow up on approvals and signatures for minutes of meetings, resolutions etc. Formatting of documents. Liaising with various departments, finance, procurement, IT, transportation, and stationery. Coordination with building maintenance for technical issues. Plan and schedule appointments, conferences, meetings, and travel arrangements for board members and the boards affairs team as necessary. Translating documents from English to Arabic and vice versa.
Assist the boards affairs team in the following:
Organize board meetings, including setting the agendas, distributing meeting materials, taking minutes, and ensuring that appropriate procedures are followed. Create and maintain an up-to-date board planning calendar outlining topics to be on the board’s agenda over the course of the year. Following up on action items. Maintaining accurate records of meetings, including minutes and action items. Archive all materials related to board meetings including, minutes of meetings, presentations, materials presented to the board during the meeting along with the resolutions. Obtain appropriate approvals and signatures. Perform other related duties as assigned.
Requirements
Bachelor’s degree in business administration or a similar qualification. Excellent written and spoken language skills in both English and Arabic. 3- 5 years’ experience in a similar role with a large multinational organisation.
Experience of supporting senior leadership. Excellent and thorough Knowledge of MS-Office in specific Excel, Word, PowerPoint etc. Attention to details and maintaining accuracy whilst working in a fast-paced environment. Determination to meet deadlines, multitask, work on urgent matters, and set priorities is a must. Demonstrated strong communication and interpersonal skills, with the ability to work collaboratively with internal and external stakeholders. Organized and confident to work independently and efficiently under pressure. Result achievement. Attention to detail. Experience with Oracle ERP/Fusion would be advantageous. Entertainment industry experience is advantageous but not essential. Ability to be discrete and maintain confidential information.
