Job Description

  • The receptionist is the front desk representative of our dental office. You will be the first person a patient speaks to, and you are an important part of establishing the patient’s relationship with the office, attend to patients on the phone and in person. Co-ordinate and organize appointments and administration to facilitate the efficient running of the dental office.

The duties of the Receptionist include, but are not limited to:

  • Greeting patients as they arrive.
  • Answering and managing incoming calls in a timely and polite manner.
  • Scheduling and cancelling patient appointments.
  • Scheduling next appointment for patients before leaving the clinic.
  • Completing and filing insurance forms and dental billing records.
  • Translating dental services into proper billable codes.
  • Managing office inventory and supplies.
  • Communicating with dental supply vendors.
  • Handling test results including x-rays.
  • Handling Lab deliveries.
  • Office duties including document filing, scanning, and creating new files.
  • Use dental software for patients filing and appointments management.
  • Monitor people coming and going through the reception doors.
  • Register new patients according to established office protocols.
  • Assist patients to complete all necessary forms and documentation.
  • Verify and update patient information.
  • Inform patients of dental office procedures and policy.
  • Move patients through appointments as scheduled.
  • Enter all relevant patient information into data system.
  • Maintain and manage patient records in compliance with privacy and security regulations.
  • Respond and comply to requests for information.
  • Confirm upcoming appointments and recalls according to office protocol.
  • Check daily appointment schedule.
  • fill in cancellations and no-shows.
  • Dispatch lab work appropriately.
  • Collect and receipt payments from patients at time of treatment.
  • Inform patients of financial treatment plan options.
  • Arrange payment schedule with patients.
  • Update  and manage patient education materials in reception area.
  • Maintain a professional reception area.
  • Safeguard patient privacy and confidentiality.

Job Requirements

  • An understanding of dental office procedures and workflow.
  • Bachelor degree of higher education.
  • English language Fluency is a must.
  • Excellent phone and in-person communication skills.
  • Organization, time management and multitasking abilities.
  • Computer literacy in basic applications like email and Microsoft Office.
