- The receptionist is the front desk representative of our dental office. You will be the first person a patient speaks to, and you are an important part of establishing the patient’s relationship with the office, attend to patients on the phone and in person. Co-ordinate and organize appointments and administration to facilitate the efficient running of the dental office.
The duties of the Receptionist include, but are not limited to:
- Greeting patients as they arrive.
- Answering and managing incoming calls in a timely and polite manner.
- Scheduling and cancelling patient appointments.
- Scheduling next appointment for patients before leaving the clinic.
- Completing and filing insurance forms and dental billing records.
- Translating dental services into proper billable codes.
- Managing office inventory and supplies.
- Communicating with dental supply vendors.
- Handling test results including x-rays.
- Handling Lab deliveries.
- Office duties including document filing, scanning, and creating new files.
- Use dental software for patients filing and appointments management.
- Monitor people coming and going through the reception doors.
- Register new patients according to established office protocols.
- Assist patients to complete all necessary forms and documentation.
- Verify and update patient information.
- Inform patients of dental office procedures and policy.
- Move patients through appointments as scheduled.
- Enter all relevant patient information into data system.
- Maintain and manage patient records in compliance with privacy and security regulations.
- Respond and comply to requests for information.
- Confirm upcoming appointments and recalls according to office protocol.
- Check daily appointment schedule.
- fill in cancellations and no-shows.
- Dispatch lab work appropriately.
- Collect and receipt payments from patients at time of treatment.
- Inform patients of financial treatment plan options.
- Arrange payment schedule with patients.
- Update and manage patient education materials in reception area.
- Maintain a professional reception area.
- Safeguard patient privacy and confidentiality.
- An understanding of dental office procedures and workflow.
- Bachelor degree of higher education.
- English language Fluency is a must.
- Excellent phone and in-person communication skills.
- Organization, time management and multitasking abilities.
- Computer literacy in basic applications like email and Microsoft Office.
