- Negotiate, review and prepare clients’ contracts and their terms and conditions such as duration and cost, ensuring compliance with company’s policy and procedures.
- Collaborate with internal business partners for contract preparation.
- Coordinate with the sales team throughout tendering and contract preparation stages to ensure that terms, conditions, specifications and price are aligned with the company policy.
- Responsible for all the correspondence between clients, factory, third parties and the company, and provide a list of milestones and their current status in the form of contractual log to keep track of the project progress, issues and risks.
- Coordinate with inspection companies and factory, negotiate prices, payments and certificates issuance
- Review and study all contract’s conditions and provide contract analysis that includes summary reports to each concerned party (Technical, Cost and Planning, etc.) to prepare the requirements needed to start the project.
- Evaluate contractual documents, allocate potential risks, provide Legal/contractual countermeasures during the Tender Stage.
- Ensuring participating divisions/ departments are aware of the contractual obligations, rights, duties, and requirements during biddings stage and project execution cycle.
- Track the contract`s details implementation and anticipate final forecast values, through monitoring variation orders, claims and contractual charges.
- Identify the necessary information to execute the contract and issue accurate and timely instructions to relevant departments to ensure equipment is designed/built/procured to the agreed specification and mitigate any issues that arise throughout the contract duration.
- Determine the variation orders / change orders execution process with clients and participate in documentation and claim narrative files.
- Amend contracts according to the variations if / when requested by the client.
- Present monthly project status report to the management that entails progress, variation, and claims log for review/comparison with the previous months for any needed precautions or actions.
- Ensure timely follow-up of projects execution process from issuing PO until material delivery to site.
- Prepare and implement effective contract administration procedures and develop claims avoidance and mitigation strategies
- Manage end-to-end claim process through negotiating settlements and resolving claims in a timely manner
- Prepare claims in coordination with related departments.
- Coordinate with procurement department for the subcontracting activities in form of all contractual/company and local authority requirements for Quality, Health Safety and Environmental, service specifications, and programme requirements are complied with.
- Prepare supplier/subcontractor assessment sheet and advise related departments of best practices and options in alignment with the contract.
- Prepare and submit reports on timely basis such as pending projects, potential projects, claims, etc.
- Provide recommendations and lessons learned for improving the contract administration and contract formation processes.
- Attending Projects Kick-off meetings and regular follow-up meetings.
- Formulate any additional formats adhering to legal compliance and company interest.
