Job Description

  • Act as a first point of contact for callers, deal with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention.
  • Manage diaries and organize meetings and appointments, often control access to the manager/executive.
  • Book and arrange travel, transport and accommodation for the Deputy CEO.
  • Cooperate in organizing events and conferences related to the sector or handle one on their own when requested by Deputy CEO.
  • Remind the Deputy CEO of important tasks and deadlines.
  • Type, format, compile and prepare reports, presentations and correspondence.
  • Manage databases and filing systems.
  • Liaise with staff, suppliers and clients.
  • Conduct miscellaneous tasks to support the Deputy CEO.
  • Maintain an events calendar and send reminders.
  • Copy, scan, and fax documents, as well as taking notes.
  • Order office supplies and replacements, as well as managing mail and courier services.
  • Observe best business practices and etiquette.
  • Handle any requests to the Deputy CEO office and queries appropriately.
  • Attend meetings with the superior, take minutes of meetings and distribute accordingly after making an action plan if necessary.

Job Requirements

  • Education: business administration bachelor's degree or equivalent.
  • Related function experience: 3+ years experience.
  • Related position experience: year experience.
