Job Description
- Act as a first point of contact for callers, deal with emails and phone calls by responding, passing on messages or highlighting them for their manager’s attention.
- Manage diaries and organize meetings and appointments, often control access to the manager/executive.
- Book and arrange travel, transport and accommodation for the Deputy CEO.
- Cooperate in organizing events and conferences related to the sector or handle one on their own when requested by Deputy CEO.
- Remind the Deputy CEO of important tasks and deadlines.
- Type, format, compile and prepare reports, presentations and correspondence.
- Manage databases and filing systems.
- Liaise with staff, suppliers and clients.
- Conduct miscellaneous tasks to support the Deputy CEO.
- Maintain an events calendar and send reminders.
- Copy, scan, and fax documents, as well as taking notes.
- Order office supplies and replacements, as well as managing mail and courier services.
- Observe best business practices and etiquette.
- Handle any requests to the Deputy CEO office and queries appropriately.
- Attend meetings with the superior, take minutes of meetings and distribute accordingly after making an action plan if necessary.
Job Requirements
