Job Description

POSITION PURPOSE:

  • Provide high quality and professional customer service to clients and all other visitors or guests of Grand Technology office.
  • Assist in maintaining effective administrative and office systems to ensure the smooth running of the office operations.
  • Provide comprehensive administrative support to company staff with a strong focus on quality and accuracy.

Key Responsibility:

  • Welcome visitors and guests in a friendly and professional manner and direct them to appropriate staff.
  • Register walk-in and call-in visitors on and assign them to the appropriate staff
  • Answer all incoming and take the required action.
  • Monitor inbound faxes and mails, distribute to appropriate staff as required.
  • Organize travel and /or accommodation.
  • Organize for collection and delivery of equipment and supplies from other offices and / or suppliers.
  • Provide word-processing and secretarial support
  • Responsible for filing and all other administrative work in the office
  • Assist the Office Manager and other staff as required.

Job Requirements

    Professional Qualifications:

    • Educated to bachelor’s degree level or equivalent.
    • Fluent in English and Arabic.
    • Receptionist/administration experience in a customer facing capacity.
    • Customer focused, with a passion for providing outstanding service.
    • Word processing skills and familiarity with relevant software packages.
    • Strong IT skills – Microsoft Office suite, CRM systems.

    Personal Qualifications:

    • Excellent planning and organizing skills with the ability to manage multiple competing priorities.
    • Excellent communication skills – written, verbal and listening.
    • Committed to continual learning and uptake of new/different tasks.
    • Ability to proactively identify, analyses and solve problems effectively.
    • Strong interpersonal skills.
