About the Job

Main Duties:

  • All secretarial duties and office supply management
  • Act as the coordinator between the company’s departments.
  • Follow up on pending issues delegated by the Executive Manager
  • Handle calendar for the Executive Manager including scheduling of appointments, meeting agendas, calls, time planning, and screening calls.
  • Attend outside meetings, develop meeting minutes and follow up on action plans accordingly.
  • Meeting and greeting visitors at all levels of seniority.
  • Organizing and maintaining diaries and making appointments.
  • Dealing with incoming email, faxes and post, often corresponding on behalf of the executive manager.
  • Carrying out background research and presenting findings.
  • Producing documents, briefing papers, reports and presentations.
  • Organizing and attending meetings and ensuring the manager is well prepared for meetings.
  • Liaising with clients, suppliers and other staff.
