Job Description
- Performs general secretarial and clerical functions (e.g. scheduling, copying, faxing, data entry, filing, etc.) for the purpose of supporting office operations.
- Order, replenish, and maintain office supplies and technical equipment.
- Screen phone calls, enquiries and requests, and handling them when appropriate.
- Maintain contacts database for the purpose of providing reference information.
- Represents the CEO by welcoming visitors at all levels of seniority, arranging company dinners and other corporate functions; answering questions and meeting requests directed to the CEO.
- Organize and maintain diaries and making appointments.
- Deal with incoming emails and often corresponding on behalf of the manager.
- Carry out background research and presenting findings.
- Produce documents, briefing papers, reports and presentations.
- Organize and attend meetings.
- Works closely with other team members to assure the CEO's preparation for meetings, presentations or other engagements.
- Prepare meeting agendas and transcribe meeting minutes.
- Liaise with clients, suppliers and Showroom staff.
- Arrange travel, visas and accommodation and, occasionally, travel with the CEO to take notes or dictation at meetings or to provide general assistance during presentations.
- Supervise, coach and train Showroom Staff, when necessary.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
- Miscellaneous administrative tasks as and when required.
Job Requirements
Education/Linguistic Abilities:
- Bachelor's degree, preferably in Business Administration.
- Fluency in Arabic and English is a must.
- Fluency in French is a plus.
Skills/Knowledge/Experience
- Ability to work in a high paced environment and to multitask.
- Computer savvy- proficiency in MS Office Suite and email clients is a must.
- Exceptional communicator both written and verbal.
