Job Description

  • Manage in-bound and out-bound communications and correspondents
  • Answering EITESAL phone number and offer services to callers through answering questions, taking a message, processing a request, or directing the call to appropriate person based upon EITESAL service policy and regulations
  • Arranging and managing the logistics of staff members and important guests travel and related bookings
  • Identify best options in terms of cost and compliance with EITESAL policy for staff travel
  • Manage Visa processing procedures for abroad travel for EIETSAL staff
  • Assist in administration budget setting
  • Create, develop, and distribute administration templates and forms to improve office productivity and service across all functions
  • Manage inventory of office equipment/supplies and discharge as per EITESAL policy
  • Assist admin supervisor in gathering information across different departments
  • Give support to departments’ managers in meeting arrangement and research upon request
  • Coordinate the usage of office facilities (ex: meeting room) across departments and training team
  • Arrange EITESAL internal meetings and events
  • Manage EITESAL shared calendar and updating it on daily basis
  • Handles office announcements and greetings
  • Provide secretarial support to managing director and departments’ managers
  • Prepare and manage internal office events as assigned by administration supervisor
  • Suggest and implement upon approval employees relations programs to improve internal relationship and staff moral
  • Maintain employees documentation system in cooperation with administration supervisor
  • Creating and maintaining an organized office archive system digitally and physically to ensure correct storage of important document for future use
  • Assist in general data entry as assigned
  • Generate administration reports as requested by admin supervisor

Job Requirements

  • Ms Office user.
  • Good English.
  • Presentation Skills.
  • Females are preferred.
