Job Description

  • Participating in preparing the monthly scorecard and quarterly report on the foundation performance.
  • Collecting strategic project plans; and participating in preparing the general plan of strategic projects.
  • Preparing for meetings held by the Executive Manager by sending reminders for meetings' appointments and coordinating with the audience regarding the reports and the necessary requirements to be discussed during the meeting.
  • Preparing the meeting's agenda in accordance with the recommendations of the Executive Manager and distributing it on the attendees prior to the meeting.
  • Coordinating all logistics concerned with holding meetings, assigning meeting halls, providing necessary tools, etc.
  • Attending department meetings and recording all discussions made and decisions taken during the meeting.
  • Preparing meetings minutes; submitting them to the Executive Manager for approval; sending them after approval to all attendees; informing them with the subsequent decisions and actions that should be followed and outlining their follow-up schedule accordingly.
  • Following up with the subsequent decisions and actions agreed upon during the meetings; preparing reports of them and submitting them to the Executive Manager.
  • Filing the department related documents and its meetings' minutes.
  • Coordinating with the Administrative Affairs department concerning the public relations arrangements for department's activities including reservations for airline tickets, hotels, cars, etc.
  • Preparing correspondences between Executive Manager and internal and external parties and participating in preparing the reports and presentations of the department; such as printing and distribution tasks; … (Advisory Board meetings, financier, etc. ...)
  • Following up on the implementation of the policies and procedures of the department; filing their forms and coordinating such policies with Human Resources department.
  • Preparing translations of documents and correspondences of the Executive Manager and coordinating with free-lance translators when necessary.
